A useful refresh plan starts with the work people do. Capture the requirements before choosing a model, then carry that information through sourcing, configuration and deployment.
Start with user groups
Group people by applications, mobility, work location and peripheral needs. A desk-based user, a mobile employee and a graphics-intensive role may need different configurations. Record the exceptions so they can be reviewed rather than discovered at delivery.
Write down the full setup
Include displays, docks, chargers, input devices, connectivity and required operating-system editions. Record exact specifications where compatibility matters. Confirm which components are included with each proposed configuration.
Plan the handoff
Identify who will image or enroll the device, apply asset labels, move data and support the user. Specify shipping locations, receiving contacts and installation windows. Plan how the outgoing equipment will be collected and handled.
Make the quote useful
Share quantities by user group, required configuration, preferred brands, delivery sites and target timing. Ask for warranty and return terms with the proposal. Confirm substitutions before accepting a different configuration.
